For Immediate Release:
GRAND RAPIDS, Mich. October 8, 2026: As artificial intelligence makes it increasingly easy for businesses to generate policies, SOPs, and training materials, PlaybookBuilder is tackling a different problem: turning process documentation into sustained employee engagement and execution.
The company, an official licensee of EOS Worldwide, today announced its Followed By All Operating System, a new approach to business process management that combines three components: Person, Playbook and Platform, a credentialed internal process owner, a repeatable process-management methodology and AI-powered software for building, deploying and driving adoption of process.
Documenting how work should be done does not ensure employees will actually do it that way. And as AI dramatically lowers the barrier to creating professional-looking process documentation, PlaybookBuilder argues that trust, knowledge transfer, adoption and execution become more important, not less.
New research points to the challenge. A 2026 study published in Computers in Human Behavior: Artificial Humans found an “AI penalty”: communication involving AI was perceived as less trustworthy, less authentic and less useful for knowledge uptake than human-authored communication. The researchers also identified a “disclosure paradox”; people want organizations to disclose when AI is used, but tend to trust the communication less when they do. (ScienceDirect)
For businesses racing to use AI to generate SOPs and training content, that creates a new problem. Producing more information faster does not necessarily make employees more likely to believe it, learn from it or use it.
“Businesses don’t need another place to hide their SOPs,” said Jon LoDuca, founder and CEO of PlaybookBuilder. “AI has made it incredibly easy to create processes that look polished and authoritative but aren’t grounded in the reality of the organization. That creates a trust problem. If employees don’t recognize their experience or that of their team in the process, they’re unlikely to trust it or follow it. Our approach is to use AI to accelerate the capture of team wisdom, not manufacture a substitute for it.”
The Followed By All Operating System is designed around that principle, combining a trained process owner, a repeatable methodology and technology built to support both.
Person: The Master BUILDER
The Master BUILDER is a trained internal process owner responsible for identifying process gaps, working with subject-matter experts, capturing institutional knowledge, deploying playbooks and measuring results.
PlaybookBuilder includes its Master BUILDER Credential with membership at no additional charge. The program teaches an employee how to lead process improvement inside the organization and report progress and findings to leadership.
“Large companies can afford continuous improvement experts, process engineers and dedicated learning departments,” LoDuca said. “A 50-person company probably can’t. But it can have one person who knows how to lead the work.”
Playbook: The Playbook Cycle
The Master BUILDER works from The Playbook Cycle, a repeatable methodology for managing process improvement. The cycle guides the BUILDER through recognizing where process is needed, inspecting how work is actually performed, capturing the expertise of the people closest to it, building and deploying the playbook, measuring results and continuously improving it.
The methodology draws on established principles of process management and continuous improvement without requiring an enterprise-level process infrastructure.
Platform: Built to Drive Adoption
The PlaybookBuilder platform uses AI not only to accelerate the creation of process content, but to help organizations drive ongoing engagement with it.
PlaybookBuilder has incorporated AI since 2023. The platform can transform video into SOPs, help teams stand up playbooks in seconds and accelerate the creation of training and workflow content. It also includes communication and marketing automation designed for an internal audience, including automated campaigns, AI-assisted messaging, email and text communication, reminders and other tools for bringing employees back to the material over time. PlaybookBuilder’s current public platform materials describe both AI-assisted content creation and email/SMS engagement capabilities.
“We’ve borrowed a lesson from marketing,” LoDuca said. “Companies don’t send a prospect one email and assume they’re going to buy. They communicate repeatedly, automate the follow-up and pay attention to engagement. Why would changing employee behavior be any different? Publishing a process isn’t the same thing as a change in behavior.”
The Followed By All Score
The Followed By All Score gives organizations a way to quantify engagement with their process training using four measures: Adoption, Participation, Completion and Consistency.
Adoption asks how many people have actually signed in. Participation measures how many were active during the period. Completion shows whether people are finishing the playbooks assigned to them. Consistency distinguishes sustained engagement from a one-off visit.
The score gives the Master BUILDER and leadership a practical management tool for identifying where engagement is strong, where it is breaking down and where additional communication, training or reinforcement may be needed. Tracking the score over time also provides visibility into whether engagement is improving.
“Most companies can tell you whether they’ve documented a process,” LoDuca said. “We can tell them whether their people are actually engaging with it. The Followed By All Score puts a number against that, so process becomes something leadership can see, manage and improve.”
